Administrative Coordinator

Department: Office of Communications & Strategic Planning
Location: Washington, DC

The National Governors Association is a bipartisan organization of the nationís governors. Through NGA, governors share best practices, speak with a collective voice on national policy and develop innovative solutions that improve state government and support the principles of federalism. The Communications and Strategic Management department is a momentous part of the organization, informing audiences on the various initiatives and innovative techniques within and outside NGA, as well as being vital to the financial gains of NGA.

The Administrative Coordinator supports the Communications and Strategic Planning department in all aspects of marketing, project management, communications, research support, etc.

Duties and Key Responsibilities

  • Execute administrative tasks such as:
    • Calendar maintenance
    • Greeting guests
    • Coordinating room reservations
    • Compiling and executing expense reports
    • Orders office supplies and coordinates printing needs
    • Coordinates subscriptions for newspapers
    • Enters contacts into Salesforce
    • Support the NGA Development, Future, and Global divisions
    • Provides general support for the Office of Communications and Strategic Planning as needed
    • Assists the Operations Manager in:
      • Scheduling meetings
      • Drafting correspondences
      • Interfacing with contact
      • Provide background research and preparation
      • Provide stellar administrative support
      • Executes special projects such as:
        • Assists with yearly Winter and Summer Meeting
        • Provide internal meeting planning support

Required Skills

  • Must be able to handle multiple projects simultaneously, be responsive to deadlines and tight timetables, and work well under pressure.
  • Able to prioritize tasks by level of importance
  • Ability to work in a fast-paced environment
  • High degree of integrity and confidentiality in handling and processing information of a highly sensitive and critical nature
  • Proficiency with Microsoft Office (Outlook, Word, PowerPoint) and strong attention to details
  • Excellent interpersonal skills
  • Experience working across multiple departments
  • Required Education and Experience
    • High school diploma or equivalent
    • Minimum 3-4 years of administrative experience
    • 1-2 years of experience within a bipartisan nonprofit organization is preferred
