ORGANIZATION BACKGROUND
Founded in 1908, the National Governors Association is a bipartisan organization of Governors from the 55 states, territories, and commonwealths whose mission is to share best practices, speak with an informed voice on national policy and develop innovative solutions to improve citizensí lives through state government and support the principles of federalism.

Through NGA, Governors identify priority issues and deal with matters of public policy and governance at the state and national levels. Our policy and research arm, the NGA Center for Best Practices, helps Governors find collective answers to common issues and assists in developing and implementing innovative solutions to public policy challenges. Our Government Relations team ensures that Governors are a strong voice in Washington, DC. NGA also provides total consultative services, including management and technical assistance to both new and incumbent Governors, their senior executive staff, and their trusted advisors.

KEY RESPONSIBILITIES OF THE OPERATIONS COORDINATOR 
Weíre looking to add a bright, resourceful and organized Operations Coordinator to our Operations Team. In this role, you will provide full administrative support to the Office of the Chief Operating Officer, Development Division and Membership Division. 

Other important responsibilities of the Operations Coordinator include: 

  • Support Office of Chief Operating Officer, Development Division and Membership Division with administrative support including but not limited to database management, event prep, printing, scheduling and phone calls, managing correspondence, etc. 
  • Manage calendar appointments/prepares agendas and other relevant materials for NGA wide, membership and development events; as well as internal operations meetings, staff retreats, weekly team meetings, and weekly Office of Executive Director reports; 
  • Coordinate administrative logistics for events (onsite and virtual). This includes registration, meeting specifications, travel logistics, participant expense reimbursement, speaker management, badge production, data collection and reporting, virtual meeting set-up and support and other event related tasks; 
  • Coordinate projects, distribute information, maintain an organizational system of tracking, monitoring and prioritizing tasks and projects; follows up on details, in writing, on the telephone, virtually using a variety of web tools, or in-person; and communicates project status to program management; 
  • Manage database contacts, groups to ensure data integrity; 
  • Support all phases of document preparation including proofreading; 
  • Manage expense reimbursement process; 
  • Develop and update administrative systems to make them more efficient; 
  • Maintain SharePoint file share system, organizational databases, spreadsheets, and other collaboration tools; 
  • Monitor Department and Division(s)mail and email requests, answers questions and inquiries from advisors, routes questions to program team members(s) when appropriate; 
  • Demonstrating a commitment to NGAís mission and goals to constructively serve the needs of all Governors; and 
  • Other duties as assigned by Chief Operating Officer. 

QUALIFICATIONS 
Candidates should have a high school diploma or equivalent, bachelorís degree preferred. At least one year experience working in an office environment, preferable. Experience working with Governors, working in federal or state agencies or non-profit organizations is highly desirable. 

The ideal candidate must have demonstrated ability to: 

  • Have attention to detail, deadlines, and organizational and time management skills; 
  • Manage multiple projects simultaneously in various stages of development;
  • Calmly work in a fast-paced environment for multiple organizational divisions,
  • Work independently, set priorities and handle multiple issues at the same time; 
  • Excellent customer service and interpersonal skills with a positive, service-oriented mindset;
  • Work diplomatically in a team environment, both within and outside NGA; 
  • Strong knowledge in operating MS Office suite applications, specifically in Microsoft Dynamics or similar CRM system and web tools; 
  • Communicate effectively through oral and written communication; 
  • Collaborate and work in a team environment; and
  • Travel, as necessary.
