Administrative Coordinator - HR

The National Governors Association (NGA) seeks an experienced professional to join us as an Administrative Coordinator.  

NGA is the bipartisan organization of the nationís governors. Through NGA, governors share best practices, speak with a collective voice on national policy and develop innovative solutions that improve state government and support the principles of federalism. The NGA Center develops innovative solutions to today's most pressing public policy challenges and directly serves governors and their key policy staff.

The Administrative Coordinator reports to the Chief Human Resources and Administrative Officer  and supports the Human Resources department in all aspects of HR administration. This position is also responsible for receptionist duties for NGA. The Administrative Coordinator will have the opportunity to participate in a variety of HR functions and initiatives.   

Duties and Key Responsibilities

  • Provides administrative support including but not limited to the following: telephone and reception services, filing, logistical arrangements for meetings, expense report preparation, and distribution of mail;
  • Acts as first point of contact for NGA. Greets and assists visitors, answer incoming telephone calls, screen calls and refers to proper person for handling. Assists directly with routine inquiries by employee;
  • Answers routine inquiries from outside the company;
  • Maintains and updates compliance posters;
  • Maintains monthly Front Desk Relief Calendar;
  • Processes invoices for payment;
  • Assists with reconciling monthly benefits invoices; and
  • Maintains departmental budget spreadsheet

Secondary Duties and Responsibilities

  • Assists in onboarding by creating orientation schedules;
  • Assists in obtaining benefits materials for employees;
  • Assists in maintenance of job description database;
  • Other administrative support duties as assigned; and
  • Assists with coordinating health and wellness fairs/programs

Required Skills

  • Strong attention to detail;
  • Demonstrated ability to manage multiple, simultaneous assignments and set appropriate priorities;
  • Demonstrated ability to process high volumes of information quickly and accurately;
  • Thoroughly adept at using Microsoft Office applications, including PowerPoint and Outlook;
  • Serious commitment to providing excellent client service  with a high level of motivation;
  • Outstanding interpersonal and communication skills including the ability write concisely and communicate effectively orally to a wide variety of audiences; and
  • Ability to adapt to a dynamic and growing organizational environment

Required Education and Experience

  •  High School Diploma or equivalent required; Associate Degree preferred
  •  3+ years of strong administrative experience with office operations

The employees must frequent lift and/or move up to 15lbs.
