Office Manager

The National Governors Association (NGA) seeks an experienced professional to join us as an Office Manager.     

NGA is the bipartisan organization of the nationís governors. Through NGA, governors share best practices, speak with a collective voice on national policy and develop innovative solutions that improve state government and support the principles of federalism.

ESSENTIAL DUTIES/RESPONSIBILITIES

The Office Manager will work under the direction of Chief Human Capital and Administrative Officer. He/she must be reliable, discreet, detail-oriented, and have excellent organizational skills:  

  •  Responsible for vendor management, including existing service provider contracts,   developing new contracts and working to execute RFPís. Ensure that service levels are   being  met or exceeded;
  •  Develop and execute processes and procedures for the office;
  •  Manage space planning, seating allocation, RE Strategy and Design & Construction and   space planning. Manage all office maintenance needs; 
  •  Manage in-office events related to facilities support, security, janitorial and catering;  
  •  Develop and manage office budgets. Review and approve all department expenses, POís   and invoices. Review monthly actuals. Participate in quarterly budget refreshes; 
  •  Oversee purchasing and inventory of all office supplies and other office consumables; 
  •  Main POC for landlord and property management. Perform monthly rent review, address   any discrepancies; and 
  •  Partner with CHRO on office issues.  

 TRAINING AND QUALIFICATIONS

The ideal candidate will require minimal supervision and be an exceptional team player and possess the following:

  • Bachelorís degree (or equivalent experience) and 5+ years of experience with at least 2 years supporting office services;
  • High degree of integrity and confidentiality in handling and processing information of a highly sensitive and critical nature;
  • Capability to multitask and work independently in a dynamic, changing work environment, setting priorities effectively;
  • Proficiency with Microsoft Office (Outlook, Word, PowerPoint) and strong attention to details;
  • Excellent interpersonal skills and ability to influence others;
  • Ability to work in a fast-paced environment;
  • Excellent organizational skills and the ability to handle multiple projects and priorities;
  • Ability to convey essential information clearly and concisely, both in writing and verbally;
  • Ability to work on a bipartisan basis to support NGAís mission and goals;
  • Willingness to work weekends and late evenings, as needed; and
  • Ability to travel up to 20%
