ORGANIZATION BACKGROUND
Founded in 1908, the National Governors Association is a bipartisan organization of Governors from the 55 states, territories, and commonwealths whose mission is to share best practices, speak with an informed voice on national policy and develop innovative solutions to improve citizensí lives through state government and support the principles of federalism.  

Through NGA, Governors identify priority issues and deal with matters of public policy and governance at the state and national levels. Our policy and research arm, the NGA Center for Best Practices, helps Governors find collective answers to common issues and assists in developing and implementing innovative solutions to public policy challenges. Our Government Relations team ensures that Governors are a strong voice in Washington, DC. NGA also provides total consultative services, including management and technical assistance to both new and incumbent Governors, their senior executive staff, and their trusted advisors.

KEY RESPONSIBILITIES OF THE ADMINISTRATIVE SERVICES COORDINATOR
NGA is looking to add a bright, resourceful, and organized Administrative Services Coordinator to the Operations team. You will report to the Director, Administration and collaborate to provide superior customer service for the efficient daily operations of the office environment with NGA members, staff, and visitors. 

Other important responsibilities of the Administrative Services Coordinator include:

  • Greet visitors with a positive and cheerful attitude; 
  • Answer, screen, and forward phones to necessary staff in a professional manner;
  • Maintain cleanliness at office reception and throughout the office; 
  • Maintain workplace security by validating badge entry and visitor logs; 
  • Understand NGA activities to connect callers/visitors with appropriate NGA staff;
  • In conjunction with Facilities Coordinator, track conference room utilization; 
  • In conjunction with Facilities Coordinator, manage mail delivery while accurately sorting and distributing mail; 
  • Accurately document and update front desk manual;
  • Assist with onboarding activities;
  • Assist with a variety of administrative tasks;
  • Demonstrating a commitment to NGAís mission and goals to constructively serve the needs of all Governors; and 
  • Other duties as assigned by Director, Administration.

QUALIFICATIONS 
Candidates should have a high school diploma or equivalent. At least one year experience working in an office environment, preferable. 

The ideal candidate will have demonstrated ability to:

  • Effectively represent NGA via telephone and in-person;
  • Excellent customer service and interpersonal skills with a positive, service-oriented mindset;
  • Strong verbal and written communication and presentation skills;
  • Have an optimistic outlook and a flexible, innovative approach to problem-solving; 
  • Calmly work in a fast-paced environment;
  • Manage multiple projects; and
  • Strong knowledge of MS Office suite.
